about Kropman

Kropman is a leading Dutch technical installation company with a rich history dating back to 1934, when it started as a trading company for central heating systems, ventilation installations, and mechanical engineering. Over the years, Kropman has grown into an integrated technical service provider, delivering in-house design, realization, management, and maintenance of building-related technical installations.

Its services include mechanical engineering, electrical engineering, measurement and control technology (building automation), contamination control, and prefabrication. With offices across the Netherlands and a workforce of approximately 800 employees, Kropman works daily on safe, healthy, and sustainable technical solutions for utility buildings, healthcare, industry, and other sectors.

Since 2018, Kropman has been part of Eiffage Energiesystemen, an international group active in energy and installation projects, further strengthening its capabilities for complex technical solutions and innovation.

Within Kropman, Jan-Fokko Haan, Tom van Toorenburg, and Shiva Kamizi are responsible for innovation and change programs, with a strong focus on the digitalization of business processes.

Customer Challenge

Exchanging documents between Kropman’s Dalux environment and the Docstream platforms of external partners involved a significant amount of manual work and coordination. Kropman was looking for a more efficient and reliable solution that would ensure only approved documents were automatically transferred.

Our Solution and Approach

To meet Kropman’s requirements, the team at Horizon Internet Technologies designed and implemented the following solution:

  • Integration between Dalux and Docstream using the HORIZON VIEW platform

  • A dedicated workflow within HORIZON VIEW that:

    • Detects when a document in Dalux receives the status “shared”

    • Automatically exports and uploads only these shared documents to Docstream

    • Enriches documents sent to Docstream with the corresponding metadata from Dalux

    • Monitors the workflow status within Docstream

    • Automatically notifies Kropman when a document is approved in Docstream, enabling them to publish the document themselves

Result

After development, testing, and live implementation, Kropman now benefits from an automated and controlled document exchange process that:

  • Synchronizes only shared documents from Dalux to Docstream

  • Automatically informs Kropman of approvals within Docstream

  • Gives Kropman full control over document publication

  • Minimizes errors and waiting times

  • Largely eliminates manual work related to document transfer

This solution delivers a more efficient and transparent workflow, reduces operational costs, and significantly improves the reliability of the document management process for Kropman and its partners.
